Position Overview:

We are seeking a highly organized, empathetic, and proactive Project Coordinator to join our client’s team. In this role, you will be the backbone of daily operations, ensuring projects run smoothly by dispatching technicians, answering phone calls, and managing the day-to-day details. Given the nature of the company’s work, sensitivity and professionalism in handling client interactions are essential, as you will often be working with individuals facing stressful or emotional situations.

Key Responsibilities:

· Dispatch coordination:

Schedule and assign technicians for daily tasks, ensuring efficient routing and timely service.

Monitor ongoing jobs and address any changes or issues as they arise.

· Client Support:

Handle phone calls with kindness and professionalism, ensuring clients feel heard and supported.

Provide timely updates and reassure clients with clear communication throughout the process.

· Team Oversight:

Act as the central point of contact for technicians, clients, and internal teams to ensure clear communication.

Follow up on tasks, deadlines, and project milestones to keep everyone aligned.

· Administrative Support:

Maintain accurate records of schedules, project updates, and client communications.

Ensure all documentation is completed thoroughly and accurately.

· Problem Solving:

Address scheduling conflicts, resource shortages, or unexpected issues with quick and effective solutions.

Approach challenges with a calm and empathetic demeanor, ensuring client trust and satisfaction.

· Quality Assurance:

Ensure all project requirements are met, and standards are upheld throughout the process.

Requirements:

· Previous experience in similar role.

· Strong knowledge of the Tempe area to coordinate efficient technician routes.

· Ability to handle high-pressure situations with professionalism and a client-centered approach.

· Excellent communication and interpersonal skills to build trust and rapport with clients and team members.

· Sensitivity to clients ‘needs, with the ability to provide empathetic and understanding service.

· Strong organizational skills with the ability to manage multiple tasks simultaneously.

· Proficiency in scheduling tools, dispatch software, and Microsoft Office Suite.
